1. Scope
This Privacy Policy explains how Tartanleaf Publications (“Tartanleaf,” “we,” “us,” or “our”) handles information when you use:
https://www.tartanleaf.com/(the Tartanleaf publishing website); andhttps://radiobook.ca/(the RadioBook website and interactive Game Suite).
It also explains the choices available to you. Third-party retailers and services have their own privacy practices, which are governed by their policies rather than this one.
Tartanleaf Publications is based in Nova Scotia, Canada.
2. Information You Choose to Provide
Email subscriptions
When you subscribe to a Tartanleaf or RadioBook mailing list, we collect the email address you provide and the list or topic you selected. We use this information to send the updates you requested. Subscription forms use email confirmation, and every marketing email includes an unsubscribe method. To help assess requested email updates, MailPoet records whether a message was delivered, opened, or a link was selected. Email-open measurements can be affected by automated privacy and security features in email software. You can unsubscribe at any time.
Mailing-list information is managed through MailPoet on the Tartanleaf WordPress site. MailPoet sends email through the WordPress site, which is configured to use an SMTP relay. The relay provider’s terms apply to its processing of delivery information on our behalf.
Contact messages
If you contact us through the contact form on our contact page, we receive the information you choose to provide, such as your name, email address, and message. We use it to respond and to maintain an appropriate record of the request. The contact form uses Cloudflare Turnstile to help prevent automated submissions. Cloudflare’s privacy policy is available at https://www.cloudflare.com/privacypolicy/.
Comments
If you leave a comment on a blog post, we collect the information displayed in the comment form, your IP address, and your browser user agent string to help with spam detection. A cryptographic hash derived from your email address may be provided to the Gravatar service to check whether you have a profile picture. The Gravatar service privacy policy is available at https://automattic.com/privacy/. After approval, your profile picture may be visible to the public alongside your comment. Comments are moderated before they appear. If you choose to save your name and email for future comments, your browser stores this information in a cookie that lasts up to one year.
3. Information Collected Automatically
Server, security, and delivery logs
Like most websites, our hosting systems and Cloudflare may process technical information needed to deliver and protect the sites. This can include Internet Protocol address, browser and device information, requested address, date and time, referring page, response status, and security or error information.
We use this information to operate the sites, diagnose problems, prevent abuse, and maintain security and performance. Server logs are retained only as long as reasonably required for the stated purpose. Cloudflare and our hosting providers process information according to their own terms and privacy policies.
Local storage and similar technologies
RadioBook stores the value rb_analytics_consent in your browser’s local storage to remember whether you allowed or declined optional Analytics. This preference remains in that browser until you change it through Analytics preferences, clear the site’s stored data, or use another browser or device.
The RadioBook Game Suite also stores local settings and progress in your browser, such as drill preferences, suite preferences, and per-activity progress. These are functional storage items used to remember your Game Suite activity state. They are separate from optional Analytics.
Optional QRZ Callsign Lookup
If you choose to use RadioBook’s optional live callsign lookup, the callsign you enter is sent through a Tartanleaf-operated server proxy to the QRZ XML service. We request only the limited lookup information needed by the activity, such as the normalized callsign, location coordinates, name where returned, and country. QRZ processes the lookup under its own terms and privacy practices. QRZ’s privacy statement is available at https://www.qrz.com/page/privacy.html.
Lookup responses may be held temporarily in a bounded in-memory cache to reduce repeated requests and prevent abuse. They are not used to subscribe you to email, build an advertising profile, or identify an Amazon purchase. Callsigns and QRZ lookup results are not sent to Google Analytics.
4. Google Analytics
We use Google Analytics 4 (GA4), with Google tag G-PLMFDPTMRC, to understand how the sites and RadioBook learning activities are used and how visitors move between our two owned domains. Analytics does not tell us whether an Amazon visit resulted in a sale. We do not intentionally use RadioBook activity data for advertising personalization.
RadioBook analytics consent
RadioBook does not load Google Analytics unless you select Allow analytics. If you decline, or have not made a choice, RadioBook does not load the Google Analytics script or send RadioBook usage events to Google Analytics. You can reopen Analytics preferences later to withdraw or grant permission.
When Analytics consent is granted, RadioBook may record:
- page and meaningful suite-screen views;
- entry into the Game Suite;
- selection of a simulation or drill;
- selection of a book or Answer Guide link; and
- selection of a link leading to Tartanleaf.
Associated event details use predefined labels that are not intended to contain names, email addresses, callsigns, answers, or other directly entered identifiers. We do not send callsigns, quiz answers, exam responses, QRZ results, email addresses, names, or other free-form content to Google Analytics.
Tartanleaf analytics behavior
On tartanleaf.com, Google Analytics 4 loads automatically when you visit a page. Tartanleaf does not currently use a consent banner or consent management platform for Analytics. This means your visit sends a standard GA4 page-view measurement request to Google. The RadioBook Analytics preference described above is stored on radiobook.ca and does not automatically change the Analytics behavior on tartanleaf.com, because the two domains are separate origins in your browser. Consent-gating Tartanleaf analytics is a recommended future improvement, but it is not part of the current site behavior.
Cross-domain measurement
When RadioBook analytics consent has been granted, GA4 cross-domain measurement may append a temporary _gl linker parameter to the Tartanleaf address when you follow a link from RadioBook to Tartanleaf. Google uses this parameter to preserve Analytics identifiers between the two configured domains so that GA4 can understand the visit as one journey across our owned domains rather than two unrelated visitors. The _gl parameter is not anonymous; it contains linkage identifiers used by GA4.
Some RadioBook links to Tartanleaf also contain UTM values such as utm_source, utm_medium, utm_campaign, and utm_content. These values identify the referring site, campaign, and link placement. They appear only on RadioBook-to-Tartanleaf links and contain no deliberately entered personal information. We do not place names, email addresses, callsigns, answers, or other entered content in UTM values.
Amazon and KDPBook domains are not included in our GA4 cross-domain configuration. We do not add RadioBook UTM or GA4 _gl parameters to Amazon or KDPBook purchase destinations.
Google processes Analytics information under Google’s own terms and privacy documentation. Analytics data associated with this GA4 property is configured for a retention period of 14 months. Some aggregated reporting may be retained differently by Google under its service configuration.
5. Purchases and External Retailers
Tartanleaf and RadioBook link to third-party retailers such as Amazon. Purchase links use a location-aware redirect service (kdpbook.link) that forwards visitors to an appropriate Amazon marketplace. The redirect service processes the technical request necessary to direct your browser to the appropriate Amazon marketplace. Its handling of technical information is governed by its own service configuration and policies. Purchases are completed on the retailer’s website. We do not directly receive or process the payment-card information you provide to the retailer.
Retailers may provide authors or publishers with sales and royalty reports. Those reports are governed by the retailer’s systems and generally do not provide us with your payment-card information. Review the retailer’s privacy policy before completing a purchase.
6. How We Use Information
- provide, maintain, secure, and improve the websites and Game Suite;
- respond to questions and requests;
- deliver mailing-list messages that you requested;
- understand aggregate site use and referral paths where Analytics permission applies;
- diagnose errors, prevent abuse, and protect the sites; and
- comply with applicable legal obligations.
We do not sell personal information. We do not intentionally use RadioBook activity data for advertising personalization.
7. When Information Is Shared
We share information only as reasonably necessary with service providers that help us operate the sites and requested services, such as:
- website hosting and infrastructure providers;
- Cloudflare for content delivery, reliability, and security;
- Google Analytics, when applicable under the choices described above;
- the QRZ XML service when you choose to perform a callsign lookup;
- MailPoet and the configured SMTP relay for requested email subscriptions; and
- professional or legal advisers where reasonably necessary.
We may also disclose information when required by law, to protect the security or rights of users and the sites, or in connection with a legitimate organizational transfer. Service providers may process information in Canada, the United States, or other countries where they operate, subject to their safeguards and applicable law.
8. Retention
- mailing-list information until you unsubscribe or request deletion, subject to limited suppression or compliance records needed to honour the unsubscribe request;
- contact correspondence and form submissions for as long as reasonably needed to respond, maintain appropriate business records, or address a dispute;
- comments and their metadata for as long as needed to operate the comment feature, recognize and approve follow-up comments, and meet moderation requirements;
- security and server logs retained only as long as reasonably required for operation, security, and troubleshooting;
- QRZ lookup responses held temporarily in a bounded in-memory cache and not persisted beyond the cache duration needed to reduce repeated requests;
- the RadioBook Analytics preference in your browser until you change it or clear site data; and
- GA4 data according to the retention setting configured in the Google Analytics property.
9. Your Choices and Requests
- decline optional RadioBook Analytics;
- reopen Analytics preferences on RadioBook to change your choice;
- unsubscribe using the link in a mailing-list message;
- clear cookies and local storage through your browser;
- ask what personal information we hold about you; or
- request correction or deletion where applicable.
The RadioBook Analytics preference applies to RadioBook in that browser. It does not automatically change preferences on Tartanleaf, another browser, or another device.
To make a privacy request, use our contact page: https://www.tartanleaf.com/contact/. We may need enough information to understand and appropriately verify the request.
You may also have the right to raise a concern with the privacy regulator applicable to your location.
10. Children and Educational Use
RadioBook includes educational material that may be used by learners, families, schools, and radio clubs. The Game Suite does not require an account, and we do not intentionally ask users to send names, callsigns, exam answers, or other entered learning content to Google Analytics.
If you believe a child has provided personal information to us through a contact or subscription feature without appropriate authorization, contact us so we can review the request.
11. Security
We use reasonable administrative and technical measures intended to protect the sites and the information handled through them. No Internet transmission or storage system can be guaranteed completely secure.
12. External Links and Embedded Services
Our sites contain links to Amazon, Google, QRZ, and other third-party websites or services. A third party’s collection and use of information is governed by its own privacy policy. Leaving our sites may also cause your browser to send ordinary referral and technical information to the destination.
Articles on this site may include embedded content from other websites. Embedded content from other websites behaves as if you had visited the other website directly. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content.
13. Changes to This Policy
We may update this Privacy Policy when our sites, services, or legal obligations change. We will update the date at the top when we make changes. Material changes may also be announced through an appropriate site notice.
