Privacy at Tartanleaf
Privacy is a design choice at Tartanleaf. We collect only the information reasonably needed to operate and protect our sites, deliver material and messages you request, respond to you, and understand whether our work is useful.
Optional website Analytics are turned off unless you select Allow analytics. Tartanleaf and RadioBook remain available if you continue without Analytics, including Tartanleaf's freely available articles and tools. You can change your choice through Analytics preferences.
We do not sell or rent personal information. We do not run behavioural-advertising or remarketing campaigns based on activity on Tartanleaf or RadioBook, and we do not require Analytics permission to access free articles, tools, or downloads.
1. Scope
This Privacy Policy explains how Tartanleaf.com Inc. ("Tartanleaf," "we," "us," or "our") handles information when you use:
https://www.tartanleaf.com/(the Tartanleaf publishing website); andhttps://radiobook.ca/(the RadioBook website and interactive Game Suite).
It also explains the choices available to you. Third-party retailers and services have their own privacy practices, which are governed by their policies rather than this one.
Tartanleaf.com Inc. is based in Nova Scotia, Canada.
2. Information You Choose to Provide
Email subscriptions and requested resources
When you subscribe to a Tartanleaf or RadioBook mailing list, or request an email-delivered resource such as the Bitaxe Owner's Maintenance and Troubleshooting Pack, we collect the email address you provide and the list, topic, form, or resource you selected. We may also retain the consent statement presented with the form, the submission and confirmation times, subscription status, and later unsubscribe or suppression status. We use this information to confirm and deliver what you requested, send the categories of messages described beside the form, administer your choices, prevent unwanted resubscription, and maintain appropriate consent records.
Subscription forms use confirmed-subscriber status. A new or unconfirmed address must use an emailed confirmation link before marketing messages covered by the request begin. An address already confirmed with Tartanleaf may not receive a second confirmation, but it must still make the affirmative request shown beside the relevant form. Each marketing email includes an unsubscribe method. Unsubscribing stops later messages covered by that subscription. Limited suppression and consent information may be retained to honour and document the request. Requesting a Bitaxe resource does not enrol you in an unrelated RadioBook, Smart Tech, or general publishing list.
Mailing-list information is managed through MailPoet on the Tartanleaf WordPress site, and mailing-list messages are delivered through MailPoet Sending Service. MailPoet records delivery information and, under Tartanleaf's current Partial engagement setting, may record whether a message was opened or a selected link was used when the subscriber's tracking-permission state allows it. MailPoet is configured not to track opens or clicks for subscribers whose tracking permission is unknown. These measurements, when allowed, may be associated with the applicable subscriber record. MailPoet's Full browser-cookie-assisted engagement tracking is disabled. Open measurements are estimates and can be affected by automated privacy and security features in email software. We use engagement information to operate and assess requested email, not to create an advertising profile.
Contact messages
If you contact us through our contact page or by email, we receive the information you choose to provide, such as your name, email address, and message. We use it to respond and to maintain an appropriate record of the request. The contact form uses Cloudflare Turnstile to help prevent automated submissions. Cloudflare's privacy policy is available at https://www.cloudflare.com/privacypolicy/.
Comments
If you leave a comment on a blog post, we collect the information displayed in the comment form, your IP address, and your browser user agent string to help with spam detection. A cryptographic hash derived from your email address may be provided to the Gravatar service to check whether you have a profile picture. The Gravatar service privacy policy is available at https://automattic.com/privacy/. After approval, your profile picture may be visible to the public alongside your comment. Comments are moderated before they appear. If you choose to save your name and email for future comments, your browser stores this information in a cookie that lasts up to one year.
3. Information Collected Automatically
Server, security, and delivery logs
Like most websites, our hosting systems and Cloudflare may process technical information needed to deliver and protect the sites. This can include Internet Protocol address, browser and device information, requested address, date and time, referring page, response status, and security or error information.
We use this information to operate the sites, diagnose problems, prevent abuse, and maintain security and performance. Server logs are retained only as long as reasonably required for the stated purpose. Cloudflare and our hosting providers process information according to their own terms and privacy policies.
Analytics choices and necessary browser storage
Tartanleaf uses necessary browser storage to remember whether you allowed or declined optional Analytics. The Tartanleaf preference is generally retained in that browser for up to 365 days unless you change it through Analytics preferences or clear the site's stored data. It is not an email-subscription record and is not intentionally joined to your MailPoet address or consent history.
RadioBook separately stores the value rb_analytics_consent in your browser's local storage to remember whether you allowed or declined optional Analytics. This preference remains in that browser until you change it through Analytics preferences, clear the site's stored data, or use another browser or device.
The RadioBook Game Suite also stores local settings and progress in your browser, such as drill preferences, suite preferences, and per-activity progress. These are functional storage items used to remember your Game Suite activity state. They are separate from optional Analytics.
Optional QRZ Callsign Lookup
If you choose to use RadioBook's optional live callsign lookup, the callsign you enter is sent through a Tartanleaf-operated server proxy to the QRZ XML service. We request only the limited lookup information needed by the activity, such as the normalized callsign, location coordinates, name where returned, and country. QRZ processes the lookup under its own terms and privacy practices. QRZ's privacy statement is available at https://www.qrz.com/page/privacy.html.
Lookup responses may be held temporarily in a bounded in-memory cache to reduce repeated requests and prevent abuse. They are not used to subscribe you to email, build an advertising profile, or identify an Amazon purchase. Callsigns and QRZ lookup results are not sent to Google Analytics.
4. Optional Google Analytics
We use Google Analytics 4 (GA4), with Google tag G-PLMFDPTMRC, when permission has been granted, to understand how the sites and RadioBook learning activities are used and how visitors move between our two owned domains. Analytics does not tell us whether an Amazon visit resulted in a sale. We do not use Tartanleaf or RadioBook activity to run behavioural-advertising or remarketing campaigns.
Tartanleaf analytics consent
Tartanleaf does not load the Google Analytics tag or send Analytics measurement requests unless you select Allow analytics. If you decline, have not made a choice, or return with a stored declined preference, the Google tag remains blocked. The website, free articles and tools, signup and confirmation functions, downloads, and unsubscribe paths remain available.
If you allow Analytics, Tartanleaf may record page views and standard website events such as a file download. We do not use Google Analytics to record whether you requested or confirmed an email subscription. We do not send an email address, MailPoet subscriber ID, confirmation token, form contents, support message, or consent record to Google Analytics. MailPoet, not GA4, remains the source of truth for subscription and consent status.
You can reopen Analytics preferences from Tartanleaf pages to change your choice. Withdrawing permission prevents later Analytics measurement after the consent tool applies the change; reloading or navigating to another page completes the currently implemented tag-removal behaviour. Clearing site data or using another browser or device may require a new choice.
RadioBook analytics consent
RadioBook does not load Google Analytics unless you select Allow analytics. If you decline, or have not made a choice, RadioBook does not load the Google Analytics script or send RadioBook usage events to Google Analytics. You can reopen Analytics preferences later to withdraw or grant permission.
When Analytics consent is granted, RadioBook may record:
- page and meaningful suite-screen views;
- entry into the Game Suite;
- selection of a simulation or drill;
- selection of a book or Answer Guide link; and
- selection of a link leading to Tartanleaf.
Associated event details use predefined labels that are not intended to contain names, email addresses, callsigns, answers, or other directly entered identifiers. We do not send callsigns, quiz answers, exam responses, QRZ results, email addresses, names, or other free-form content to Google Analytics.
Separate domain choices and cross-domain measurement
Tartanleaf and RadioBook store and apply Analytics choices separately. A choice generally applies to the browser and domain where it was made, not automatically to another browser, device, or domain.
When RadioBook Analytics permission has been granted, GA4 cross-domain measurement may append a temporary _gl linker parameter to a Tartanleaf address when you follow a link from RadioBook. Google uses this parameter to preserve Analytics identifiers between our configured domains so GA4 can understand the visit as one journey rather than two unrelated visitors. Tartanleaf does not process that journey in GA4 unless Tartanleaf Analytics permission also applies. The _gl parameter contains linkage identifiers used by GA4 and should not be considered anonymous.
Some RadioBook links to Tartanleaf also contain UTM values such as utm_source, utm_medium, utm_campaign, and utm_content. These values identify the referring site, campaign, and link placement. We do not place names, email addresses, callsigns, answers, or other entered content in UTM values.
Amazon and KDPBook domains are not included in our GA4 cross-domain configuration. We do not add RadioBook UTM or GA4 _gl parameters to Amazon or KDPBook purchase destinations.
Google processes Analytics information under Google's own terms and privacy documentation. GA4 event data associated with cookies or identifiers is configured for a retention period of 2 months. GA4 user data is configured for 14 months, with the user-data period reset on new activity. These controls do not determine the lifecycle of every aggregated standard report, which Google may retain differently under its service configuration.
5. Purchases and External Retailers
Tartanleaf and RadioBook link to third-party retailers such as Amazon. Purchase links use a location-aware redirect service (kdpbook.link) that forwards visitors to an appropriate Amazon marketplace. The redirect service processes the technical request necessary to direct your browser to the appropriate Amazon marketplace. Its handling of technical information is governed by its own service configuration and policies. Purchases are completed on the retailer's website. We do not directly receive or process the payment-card information you provide to the retailer.
Retailers may provide authors or publishers with sales and royalty reports. Those reports are governed by the retailer's systems and generally do not provide us with your payment-card information. Review the retailer's privacy policy before completing a purchase.
6. How We Use Information
We use the information described in this policy to:
- provide, maintain, secure, and improve the websites and Game Suite;
- respond to questions and requests;
- deliver resources and mailing-list messages that you requested;
- administer subscriptions, confirmations, choices, suppression, and consent records;
- understand site use and referral paths where Analytics permission applies;
- assess email delivery and usefulness where email engagement measurement is enabled;
- diagnose errors, prevent abuse, and protect the sites; and
- comply with applicable legal obligations.
What we do not do
Tartanleaf does not:
- sell or rent personal information;
- run behavioural-advertising or remarketing campaigns using activity on Tartanleaf or RadioBook;
- load optional Google Analytics on Tartanleaf or RadioBook before the applicable permission;
- require Analytics permission to access free articles, tools, or downloads;
- send email addresses, form contents, callsigns, quiz answers, or other free-form submissions to GA4; or
- use a request for a Bitaxe resource to add someone to an unrelated mailing list.
7. When Information Is Shared
We share information only as reasonably necessary with service providers that help us operate the sites and requested services, such as:
- website hosting and infrastructure providers;
- Cloudflare for content delivery, reliability, security, and form-abuse prevention;
- Google Analytics, only when applicable under the choices described above;
- the QRZ XML service when you choose to perform a callsign lookup;
- MailPoet and MailPoet Sending Service for requested email subscriptions and delivery; and
- professional or legal advisers where reasonably necessary.
We may also disclose information when required by law, to protect the security or rights of users and the sites, or in connection with a legitimate organizational transfer. Service providers may process information in Canada, the United States, or other countries where they operate, subject to their safeguards and applicable law.
8. Retention
We retain information only for as long as reasonably needed for the purpose for which it was collected, including:
- mailing-list profiles while subscribed, plus the limited consent and suppression information needed to administer and document the request;
- per-subscriber MailPoet queued, sent, or failed status rows for up to six months after a send; MailPoet documents that this cleanup does not remove newsletter content, aggregate open/click/unsubscribe totals, or the view-in-browser copy, and delivery-provider, bounce, complaint, suppression, consent, and any permitted engagement information follow their applicable operational and legal retention requirements rather than being assumed to share that six-month lifecycle;
- contact correspondence and form submissions for as long as reasonably needed to respond, maintain appropriate business records, or address a dispute;
- comments and their metadata for as long as needed to operate the comment feature, recognize and approve follow-up comments, and meet moderation requirements;
- security and server logs only as long as reasonably required for operation, security, and troubleshooting;
- QRZ lookup responses temporarily in a bounded in-memory cache;
- the Tartanleaf Analytics preference for up to 365 days, or until you change it or clear site data;
- the RadioBook Analytics preference until you change it or clear site data; and
- GA4 event data associated with cookies or identifiers according to the configured two-month setting, and GA4 user data according to the configured 14-month setting with the period reset on new activity; these controls do not determine the lifecycle of every aggregated standard report.
9. Your Choices and Requests
You may:
- continue without optional Analytics while retaining access to Tartanleaf, RadioBook, free resources, and the Bitaxe Owner's Pack flow;
- reopen Analytics preferences on the applicable site to allow, decline, or withdraw Analytics permission;
- unsubscribe or change mailing-list preferences using the controls in an email;
- clear cookies and local storage through your browser;
- ask what personal information we hold about you; or
- request correction or deletion where applicable.
To make a privacy request, email [email protected] or use https://www.tartanleaf.com/contact/. We may request only the information reasonably needed to understand and appropriately verify the request.
You may also have the right to raise a concern with the privacy regulator applicable to your location.
10. Children and Educational Use
RadioBook includes educational material that may be used by learners, families, schools, and radio clubs. The Game Suite does not require an account, and we do not intentionally ask users to send names, callsigns, exam answers, or other entered learning content to Google Analytics.
If you believe a child has provided personal information to us through a contact or subscription feature without appropriate authorization, contact us so we can review the request.
11. Security
We use reasonable administrative and technical measures intended to protect the sites and the information handled through them. No Internet transmission or storage system can be guaranteed completely secure.
12. External Links and Embedded Services
Our sites contain links to Amazon, Google, QRZ, and other third-party websites or services. A third party's collection and use of information is governed by its own privacy policy. Leaving our sites may also cause your browser to send ordinary referral and technical information to the destination.
Articles may include embedded content from other websites. Embedded content behaves as if you had visited the other website directly. Those websites may collect information, use cookies or similar technologies, and monitor interaction with the embedded content. Optional embedded tracking must remain subject to the applicable consent controls where required.
13. Changes to This Policy
We may update this Privacy Policy when our sites, services, or legal obligations change. We will update the date at the top when we make changes. Material changes may also be announced through an appropriate site notice.
